Jobscribe ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, application, and Chrome extension (collectively, the "Service").

1. Information We Collect

Information You Provide

  • Account Information: Name, email address, and password when you create an account.
  • Resume Data: Resumes you upload, including work history, education, skills, and contact details contained within them.
  • Job Data: Job postings you save or capture via the Chrome extension, including job titles, descriptions, company names, and URLs.
  • Payment Information: Billing details are processed by our payment provider, Dodo Payments (see Section 6). We do not store your credit card information directly.

Information Collected Automatically

  • Usage Data: Pages visited, features used, and interaction patterns to improve the Service.
  • Device Information: Browser type, operating system, and device identifiers.
  • Log Data: IP address, access times, and referring URLs.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Process your resumes through AI to generate tailored versions for specific job postings
  • Track your job applications and provide analytics
  • Process payments and manage your subscription
  • Send transactional emails (account verification, password resets, billing notifications)
  • Send product updates and feature announcements (you may opt out at any time)
  • Respond to your support requests
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

3. AI Processing

When you use our AI-powered features (resume tailoring, job matching, keyword analysis), your resume content and job descriptions are sent to third-party AI providers (Anthropic) for processing. This data is:

  • Used solely to generate the requested output
  • Not used to train AI models
  • Not stored by the AI provider beyond the processing session
  • Subject to Anthropic's Privacy Policy and data processing terms

4. Automated Decision-Making

We do not use automated decision-making or profiling to make decisions that produce legal or similarly significant effects about you. Our AI features generate resume tailoring suggestions and job match scores as tools to assist you — all outputs are advisory and you remain in full control of your job application materials. No employment decisions are made by our systems.

5. Chrome Extension Data

Our Chrome extension allows you to capture job postings from job boards directly into your Jobscribe account. When you activate the extension on a job posting page, it:

  • Reads the job title, description, company name, and URL from the current page — only on user action, never passively
  • Transmits that data to Jobscribe's servers to create a job record in your account
  • Does not track your browsing history or run in the background
  • Does not access pages outside of your explicit activation

Job data captured via the extension is stored and handled in the same way as job data entered manually through the web application.

6. Data Storage and Security

Your data is stored securely using Supabase infrastructure with industry-standard encryption. We implement:

  • Encryption in transit (TLS/SSL) and at rest
  • Row-level security policies ensuring you can only access your own data
  • Regular security audits and monitoring
  • Secure authentication with email verification

7. Payment Processing

Payments are processed by Dodo Payments, which acts as our Merchant of Record. Dodo Payments handles all payment processing, tax collection, invoicing, and related compliance. When you make a purchase, your payment information is collected and processed directly by Dodo Payments under their Privacy Policy. We receive only a confirmation of payment, subscription status, and transaction identifiers from Dodo Payments.

8. Data Sharing

We do not sell your personal data. We share information only with:

  • Dodo Payments: Payment processing and billing (as Merchant of Record)
  • Anthropic: AI processing for resume tailoring and job matching features
  • Supabase: Database hosting and authentication infrastructure
  • Vercel: Application hosting and analytics
  • Legal Requirements: When required by law, legal process, or to protect our rights

9. Your Rights

Depending on your location, you may have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your account and associated data
  • Portability: Request your data in a portable format
  • Objection: Object to certain processing of your data
  • Restriction: Request that we restrict processing of your data in certain circumstances
  • Withdraw Consent: Where processing is based on consent, withdraw it at any time without affecting the lawfulness of prior processing
  • Lodge a Complaint: You have the right to lodge a complaint with your local data protection supervisory authority if you believe we have not handled your data in accordance with applicable law

10. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you, the sources, purposes, and third parties with whom we share it
  • Right to Delete: Request deletion of personal information we have collected, subject to certain exceptions
  • Right to Correct: Request correction of inaccurate personal information
  • Right to Opt-Out of Sale or Sharing: We do not sell or share your personal information for cross-context behavioral advertising. You do not need to opt out, but you may contact us to confirm this
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights
  • Right to Limit Use of Sensitive Personal Information: We do not use sensitive personal information for purposes beyond providing the Service

11. Legal Basis for Processing (EEA/UK Users)

If you are located in the European Economic Area (EEA) or United Kingdom, we process your personal data under the following legal bases:

  • Performance of a Contract (Article 6(1)(b) GDPR): Processing necessary to provide the Service — including account management, resume storage, AI tailoring, job tracking, and payment processing
  • Legitimate Interests (Article 6(1)(f) GDPR): Processing for security monitoring, fraud prevention, service improvement, and anonymous usage analytics, where our interests are not overridden by your rights
  • Legal Obligation (Article 6(1)(c) GDPR): Processing required to comply with applicable laws, including financial record-keeping
  • Consent (Article 6(1)(a) GDPR): Processing for marketing communications, which you may withdraw at any time

12. Data Retention

We retain your data for as long as your account is active. Specific retention periods:

  • Account, resume, and job data: Retained while your account is active. Deleted within 30 days of account deletion, except as noted below
  • Billing and financial records: Retained for up to 7 years to meet legal and tax obligations, even after account deletion
  • Usage logs and analytics: Retained for up to 12 months
  • Encrypted backups: May persist for up to 90 days after deletion before being purged from backup systems

You can delete your account at any time from your account settings. You may also request data deletion by contacting privacy@getjobscribe.com.

13. Marketing Communications

We may send you emails about new features, tips, and product updates. You can unsubscribe from marketing emails at any time by clicking the unsubscribe link in any such email, or by contacting us at privacy@getjobscribe.com.

Unsubscribing from marketing emails will not affect transactional emails such as account verification, password resets, and billing notifications, which are necessary to provide the Service.

14. Cookies

We use two categories of cookies and similar technologies:

  • Necessary: Authentication tokens and session cookies required for the Service to function. These cannot be disabled.
  • Analytics: We use Vercel Analytics to understand how the Service is used. Vercel Analytics does not use persistent cookies, does not track you across other websites, and does not share data with advertising networks.

You can disable analytics by adjusting your browser settings or using a browser extension that blocks analytics scripts. Disabling analytics will not affect your ability to use the Service.

15. Business Transfers

If Jobscribe is involved in a merger, acquisition, financing, or sale of all or a portion of its assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice within the Service before your data becomes subject to a materially different privacy policy, and we will give you the opportunity to request deletion of your data.

16. Data Breach Notification

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, where required by applicable law. Where the breach is likely to result in a high risk to you, we will notify you directly without undue delay.

17. Children's Privacy

The Service is not intended for users under 16 years of age. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child under 16, please contact us at privacy@getjobscribe.com and we will delete it promptly.

18. International Data Transfers

Your data may be processed in countries other than your own, including the United States, where our service providers operate. When transferring personal data from the EEA or UK, we rely on appropriate safeguards including Standard Contractual Clauses (SCCs) approved by the European Commission, or the UK International Data Transfer Agreements where applicable.

19. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. Your continued use of the Service after changes constitutes acceptance of the updated policy.
